Administrator

Main purpose of job:

Provide administrative support to other members of staff, assist with the efficient running of the office. This is a general overview of the responsibilities for this post and you may be asked to only complete a selection of these tasks.

Co-ordinate agendas/appointments


Co-ordinate phone calls and correspondence (e-mail, letters etc.)


Create and update records and databases with relevant information


Place lunch orders for meetings when necessary


Submit reports and prepare documents as assigned


Book and prepare meetings rooms as requested


Assist colleagues whenever necessary


To take reasonable care for the health and safety of him/herself and of other persons who may be affected by their acts and omissions and co-operate with management to enable management to carry out their responsibilities under the Health and Safety at Work etc Act. Employees have equal responsibility with the company for health and safety at work.

Qualifications

Educated to a AS/NVQ Level 2 standard

RSA Typing or typing speed of no less than 35 words per minute

2 years administration work experience in an office environment

Experience of utilising a range of IT programmes and maintaining database systems

A good knowledge of Microsoft Office, Word, Excel & Outlook


Skills

Ability to work with a degree of autonomy, in a flexible and creative manner, whilst observing polices and procedures

Ability to work as part of a team

Ability to assimilate new technology and systems quickly

Attention to detail and the ability to complete work accurately and to deadlines


Attitude

Willingness to contribute to effective supervision

Willingness to undertake training

Commitment to carrying out all agency responsibilities in an anti-discriminatory manner

A flexible approach to work

Ability to self motivate and work on own initiative
