Administrator

Looking to employ an admin/cleaning supervisor, 8 hours a day minus 1 hour break, to manage 2 small teams in 2 buildings and help the manager with the paperwork and clients, Salary starting at 20k, 22k after qualifying period. Must have a driving licence and own transport.

Working hours from 12PM-8PM Monday to Thursday and Friday 11:30 AM to 7:30 PM.

The first point of contact for customer enquiries and providing appropriate advice and information. The role will require communicating effectively with customers whether via the telephone or email & responsible for a range of administrative tasks, supporting the Maintenance Manager. You will also be required to lead and develop a small cleaning team in Amersham and Denham, responsible for their output while working closely with the Maintenance Manager and be willing to contribute to the workings of the wider FM team on site.

Key Responsibilities

  • Deal with enquiries from customers, providing appropriate advice and information, through email, website and telephone
  • Directing queries from customers to the appropriate site/person where necessary
  • Manage and maintain relevant administration and reporting systems
  • Assist with client account queries
  • Comply with Health and Safety working practice in accordance with the company’s policy
  • Be flexible and work effectively with other colleagues
  • IT literate with knowledge of Microsoft applications
  • To line manage the cleaning operatives ensuring that the team are meeting high cleaning standards;
  • To have the overall responsibility for the practical organisation of the day to day cleaning operation within the building;
  • Monitor and achieve the key performance targets and standards of cleaning closely and drive improvements and efficiencies where possible to meet customer demand;
  • Manage sickness, absence and annual leave for cleaning team, including recording and submitting documentation to Management and HR;
  • To manage inventory controls of cleaning equipment and materials to ensure that orders can be placed on a timely basis but within budgetary constraints;
  • To organise appropriate training for all cleaning staff;
  • Undertake any additional cleaning or similar duties as directed by Scheme Manager;
  • Maintain cleaning staff attendance logs and timesheets;
  • Carry out routine cleaning audits and provide reports
  • Responsible for securing the building on a daily basis
  • In conjunction with the Maintenance Manager, interview and recruit sufficient cleaning staff to cover the weekly budgeted cleaning hours;
  • Develop and carry out induction procedures with all new staff;
  • Identify formal and informal training needs for all cleaning staff;
  • To ensure that all Health & Safety procedures personally and across the team;

  • Be able to use initiative, make decisions and consult as appropriate.

Experience and Qualifications

ESSENTIAL

  • Good Education
  • Line management experience
  • Significant experience in a similar cleaning position;
  • Good sound knowledge of Health & Safety issues and the need for safe methods of working;
  • Knowledge and understanding of COSHH and how to carry out risk assessments of products in line with it;
  • Computer literate

DESIRABLE

  • Experience of working within a customer service team
  • Experience of working in a similar sector;
  • Manual handling training;
  • Customer service training;
  • First aid qualification;
  • Fire warden training;
