Temp Receptionist

• Answer incoming calls, transferring, taking messages and screening when appropriate

• Manage all visitors, answer the door, ensuring visitors book is signed, check in/out

• Maintain & keep tidy stationery cupboards upstairs & in reception, order stationery for office as necessary ensuring we always have important items in stock

• Update EMEA phone list & circulate to all when there are changes eg a new starter

• Be aware of regular visitors such as Electricians, Iron Mountain, Plant Company, Personal Hygiene Company, Express Vending and Maintenance

• Maintain the industry-related magazines in reception, keeping them current and up to date, disregarding old documents

• Receive and circulate post internally, letting individuals know when post/packages arrive • Frank and process outgoing post

• Book couriers and order supplies when required

• Notify the warehouse when the sandwich van arrives

• Book ad-hoc travel for Technical, Sales, Finance, some Management

• Send diary notes in outlook to EA & F/H&S Co-ordinator

• Book hotels (the UK and overseas) when required

• Arrange ad-hoc car transfers when required • Reconcile Travel Requisitions - e.g. flight bookings, invoices and Amex statement, and chase up any discrepancies with FCM

• Hand over outstanding travel bookings/enquiries to, H&S Co-ordinator or EA prior to holiday/days off • Order supplies for kitchens e.g. tea/coffee/sugar/water/soft drinks/snacks etc
